Who we are
Pillars Business Consultant is an AI business advisory platform for small and growing businesses. This policy explains what personal data we handle when you use the platform, our mobile applications or this website. It is maintained by us as the owner of the application.

Information we collect
Account information: your name, phone number, optional email address, business or organisation name, role, and a salted hash of your password. We never store your password in readable form.
Workspace content: your business profile, products and services, sales and expense records, budgets, goals, uploaded documents, and the questions you ask the AI consultant.
Usage and device information: sign-in events, IP address, browser or device type, app version, and audit records of sensitive actions such as role changes.
Billing information: your plan, invoices and payment history. Card details are handled entirely by our payment provider and are never stored on our systems.
How we use your information
To create and secure your account, verify your phone number, and keep sessions safe.
To operate the modules you use, including your dashboard, sales and expense tracking, reports, the AI Business Consultant and growth planning.
To send service messages such as one-time verification codes, invoices and important platform notices.
To provide support when you contact us, and to improve reliability and performance.
To detect and prevent abuse or fraud, and to meet our legal obligations.
We do not sell your personal data, and we do not use it for third-party advertising.
Legal bases
We process personal data to perform our contract with you (providing the platform), on the basis of our legitimate interests (security, service improvement, fraud prevention), with your consent where required (for example optional communications), and to comply with legal obligations such as accounting rules.
AI processing
When you ask the AI Business Consultant a question, your question and a summary of your own business figures are sent to our AI provider to generate the answer.
AI answers are advisory drafts returned only to your workspace. They are never shared with other businesses and are not used to train third-party models.
How your data is stored and protected
Data is stored on managed cloud infrastructure and encrypted in transit using TLS and at rest by the hosting provider.
Each business is an isolated tenant. Access is enforced at the database level by row-level security and further limited by user role, so one organisation can never read another organisation's records.
Channel credentials and access tokens are encrypted with AES-256-GCM before they are stored.
Sessions expire after a period of inactivity, sign-in attempts are rate limited, and sensitive administrative actions are written to an audit log.
Sharing and service providers
We share data only with the providers required to run the service: cloud hosting and database, AI model providers, messaging providers for verification codes, and payment providers for billing.
Where you connect a third-party channel (for example a social or messaging platform), content you choose to publish is sent to that platform under its own terms.
Each provider is contractually bound to process data only on our instructions. We may also disclose data where required by law.
Data retention
We keep account and workspace data for as long as your workspace is active. When a workspace is closed or a deletion request is completed, data is deleted or anonymised, normally within 30 days, except for billing records we must retain for legal and accounting purposes.
Your rights
You may request access to your personal data, correction of inaccurate data, deletion, restriction of processing, objection to certain processing, or a portable copy of your data.
Business administrators can manage most account data directly from Settings. For anything else, email us and we will respond promptly.
Children
The platform is intended for business owners and their staff. It is not designed for use by children, and we do not knowingly collect personal data from anyone under 16.
Cookies and local storage
We use strictly necessary cookies and local storage to keep you signed in and remember basic preferences such as theme. We do not use advertising cookies on this website.
Changes to this policy
We may update this policy as the platform develops. Material changes will be announced in the platform or by message before they take effect, and the date below will be updated.
